What belongs on a tutor invoice
- The student's name
- Families with more than one child being tutored cannot allocate an invoice without it, and schools reimbursing fees will not process one.
- Session dates and lengths
- A parent paying for eight sessions wants to see eight dates, particularly when some ran long and some were rescheduled.
- The cancellation policy and what it charged
- Stating the rule on the invoice is what makes a charged late cancellation a policy rather than a penalty.
- Block expiry
- Prepaid blocks need an expiry or they become an indefinite liability that resurfaces two years later.
The mistake that costs tutors the most
Invoicing in arrears for a service booked by the hour
Tutoring is sold in small amounts to private individuals, which is the worst possible combination for collection. Chasing sixty dollars costs more than sixty dollars. Sell blocks, take payment before the first session in the block, and the problem disappears rather than being managed.
Sales tax on a tutor invoice
Tutoring is a service and is untaxed in most states. Educational services are also specifically exempt in several states that do tax other services, so this is one of the safer categories, but it is still worth confirming locally.
The template has a tax field with an editable label, so it will say VAT or GST if that is what you need, and it applies the rate to the subtotal after any discount. Leave the rate at zero if you are not registered to collect. Nothing here is tax advice, and a question about your own registration is one for your state's department of revenue or your accountant.

Questions about tutor invoices
Should tutors take payment in advance?
Yes, in blocks. The amounts are small enough that chasing them is uneconomic and the client relationship is personal enough that chasing them is uncomfortable. A prepaid block of four or eight sessions solves both, and it also improves attendance, because a missed session has already been paid for.
What should a tutoring invoice include?
The student's name, the subject, and every session date with its length. Parents claiming against a school allowance or an education fund need all three, and an invoice without them is usually sent back.
How should I handle late cancellations?
State the window and the charge on the invoice itself, not only in a welcome email. Twenty-four hours notice for a free reschedule is the usual term. The charge is much easier to apply when the policy is printed on the document the family is already reading.
