A quote written in the body of an email gets treated like an opinion. The same numbers on a PDF with your logo, a validity date and somewhere to sign get treated like a decision to make. Nothing about the work changed. The document did.

What belongs on a freelance quote
Six things, and the tool has a field for each: who is quoting, who it is for, a quote number you can refer to later, the date it was issued, the date it stops being valid, and a line for every piece of work with its price. Anything missing from that list is something you will be asked about by email, which is a day of delay for no reason.
The scope paragraph is the one people skip, and it is the one that pays for itself. Two rounds of revisions included, further rounds at your hourly rate. Four weeks from acceptance, assuming feedback within three working days. Written down before the work starts, those sentences are a shared expectation. Raised afterwards, they are an argument you will usually lose.
Price the scope, not the hours, when you can. A client comparing three quotes cannot judge whether forty hours is reasonable, but they can judge whether the outcome is worth the money. Work out the hours privately to check the job is worth doing, quote the number, and keep the hourly rate for the change requests.
Then follow up. A quote sent and never mentioned again is the most common way freelancers lose work they had already won. Put the validity date in the calendar, and send one short message a few days before it passes.

Questions
What is the difference between a quote, an estimate and a proposal?
A quote is a fixed price you are committing to for a defined scope. An estimate is your best guess at a price that could move once the work is understood, and it should say so in writing. A proposal is a longer sales document that argues why you are the right person and usually carries a quote inside it. This tool produces a quote by default, and works as an estimate if you say in the scope notes that the figure is an estimate and what would change it.
How long should a quote stay valid?
Thirty days is the usual window, and it is the default here. It gives a client time to get sign-off without holding you to a rate you set before your costs changed. For work with materials or subcontractors whose prices move, seven or fourteen days is fair. The validity date is not a formality: once it passes you are free to requote, which is a much easier conversation to have when the date was on the document all along.
What are optional add-ons for?
They let you quote extra work without inflating the number the client compares against other quotes. Tick Optional on a line and it is priced on the document but held out of the total, with a separate figure showing what the job costs if every add-on is accepted. It is the single most effective thing on a quote: clients who would have rejected a larger total often accept one or two add-ons when they can see each price on its own.
Should I ask for a deposit?
For any new client, yes. Fifty percent up front is standard for project work and thirty is common for longer engagements. Putting the deposit on the quote itself, rather than raising it after the work is agreed, means the payment schedule is part of what the client accepted. Set a percentage and the document shows the deposit and the balance as separate lines.
Is a signed quote a contract?
A signed quote is evidence that a price and a scope were agreed, and in many disputes it is the only document that exists. It is not a substitute for a contract covering ownership, liability, kill fees and late payment. Use the acceptance block to get the scope and the price agreed, and a proper contract for the rest. Can I turn an accepted quote into an invoice?
