Most invoicing software wants an account before it will show you anything, and then wants a subscription before it will let you send what you made. For one invoice to one client that is an absurd amount of ceremony. This page is the short version: type, check the preview, download.

What comes out is a real PDF, not a screenshot of a web page. The text stays selectable and searchable, the numbers line up in a proper column, and long invoices break across pages without the totals falling off the bottom. It is the kind of file an accountant opens without complaining.

What to put on a US freelance invoice

An invoice has to answer four questions without anyone having to ask them: who is billing, who is being billed, what for, and by when. That means your name and address, the client's name and address, a unique invoice number, the date you issued it, a due date, a line for each piece of work, and the total. Every one of those has a field on this page.

The invoice number matters more than it looks. It is what lets you and your client refer to one specific bill six months later, and if the IRS ever asks to see your books, gaps in the sequence are the first thing anyone notices. Run them in order and never reuse one.

Most US freelancers leave sales tax at zero, because the majority of states tax goods rather than professional services. Your tax ID is a separate matter: clients collect it on a W-9 so they can send you a 1099-NEC in January, and that form is where it belongs rather than on an emailed PDF. If you are handing out a number, an EIN is free from the IRS and safer to circulate than your Social Security number.

The due date matters most of all. "Due on receipt" sounds firm and gets paid late anyway, because nobody in accounts payable has a process for it. Net 15 or Net 30 gives them a date to key into their system, which is how you actually get paid. Pick a term, put it on every invoice, and put your ACH details or payment link in the notes so settling it takes no thought.

Is this invoice generator really free?

Yes. Every field, every line item, the tax and discount handling and the PDF download are free with no signup, no watermark on the file, and no cap on how many invoices you make. Nothing here is a trial.

Does it store my invoice data anywhere?

Only in your own browser. The invoice is kept in this browser's local storage so it is still there when you come back, and it is never sent to a server. Clearing your browser data or pressing Reset removes it. If you want invoices saved to an account and available on another device, that is what a PomoTodo account adds.

How should I number my invoices?

Sequentially, with no gaps. If the IRS ever looks at your books it expects to be able to follow a run of invoice numbers, so INV-2026-001, INV-2026-002 and so on is safer than a date or a random reference. Pick a format, keep it, and never reuse a number — if you need to cancel one, issue a credit note rather than deleting it.

Should I charge sales tax on an invoice?

Most freelancers in the US do not, and leave the rate at zero. The large majority of states tax goods rather than professional services, so design, writing, consulting and development are usually not taxable — but a handful of states do tax some services, and the rules depend on where your client is, not just where you are. If you are registered to collect, set the rate and the tool applies it to the subtotal after any discount. If you are not sure, check with your state's department of revenue or your CPA before charging it.

Do I need to put my EIN or SSN on the invoice?

No. Your tax ID belongs on a W-9, which is what a client requests separately so they can issue you a 1099-NEC at the end of the year. There is a tax ID field if you want it on the invoice, but an invoice is not a secure document and there is no reason to put a Social Security number on something that gets emailed around. An EIN is free from the IRS and is the safer thing to hand out.

Can I invoice in a currency other than dollars?

Yes. It defaults to US dollars, and there are eleven more in the dropdown for when you bill a client abroad. The preview shows the local symbol. In the PDF, currencies whose symbol is not part of the standard PDF font set are printed as the three letter code instead — "INR 1,200.00" rather than a broken character — which is also clearer on a cross-border invoice.

Can I add my logo?

Yes, any image under 512KB. It sits at the top left of the invoice, in both the preview and the downloaded PDF. Like everything else on this page it stays in your browser.
