What a timesheet needs to show

For hourly, non-exempt work, federal law expects employers to keep a record of the hours worked each day and the total for each workweek. A timesheet is usually where that record starts, so it is worth getting the basics right: who worked, which dates, when each shift started and ended, the unpaid breaks in between, and the totals, signed by the employee and checked by a supervisor.

Weekly, every two weeks, or monthly?

Use whatever matches your pay period. The one thing that does not change is how overtime is counted: always inside a seven day workweek, never across a whole pay period. A two week sheet here shows a subtotal for each week, and a monthly sheet is split into weeks counted from its first day, so overtime is only ever measured the way it is owed.

Is this timesheet template free?

Yes. Fill it in, print it, save it as a PDF or download it for Excel as often as you like, with no account. Everything you type stays in your browser.

How do I save the timesheet as a PDF?

Press Print or save PDF, then choose Save as PDF as the destination in your browser's print window. Only the timesheet prints; the rest of the page is left out.

Can I open it in Excel or Google Sheets?

Yes. Download for Excel gives you a CSV file that opens directly in Excel, Google Sheets and Numbers, with every day, the hours, weekly subtotals and the totals.

How is overtime worked out on a biweekly timesheet?

Week by week. Under federal rules, overtime is owed on hours past 40 in a single seven day workweek, so two 40 hour weeks are 80 hours with no overtime, while a 50 hour week and a 30 hour week are 80 hours with 10 hours of overtime. The template treats each seven days from the start date as one workweek.

What if a shift runs past midnight?

Enter the times as they happened. If the time out is earlier than the time in, the template assumes the shift crossed midnight and counts it correctly.
