You are trying to book a week off in the spring and your payslip says 31.4 hours. Is that enough? Will it be by March? Nobody in HR is going to work it out for you on a Tuesday.
Tell it how your PTO is given, either a set number of days a year or an hour for every so many hours worked, and see exactly what lands each paycheck. Then give it your balance and a date and it projects forward, taking out the time off you already have planned.
It also catches the thing that quietly costs people days off every year: the accrual cap. Reach it and you stop earning. The calculator tells you roughly when that happens, so you can book time before it does.
How PTO accrual works
A set amount a year. The allowance is spread evenly across your paychecks. Fifteen days of 8 hours is 120 hours, so paid every two weeks you earn about 4.62 hours per paycheck, and weekly about 2.31.
Per hours worked. You earn a fixed slice of every hour you work. One hour for every 30 worked comes to about 69 hours a year on a 40 hour week. Work more hours and you earn more, which makes this the usual method for part time and variable schedules.
Front loaded. Some employers grant the whole year on day one instead. If that is you, there is nothing to accrue; your balance is simply the grant minus what you have used, and the projection above still works with the cap left empty.
Caps, carryover and use it or lose it
These are three different rules that get talked about as one. A cap stops accrual at a maximum balance. A carryover limit decides how much crosses into the new year. Use it or lose it wipes unused hours on a set date. Which ones apply depends on your employer and your state, and some states restrict forfeiting vacation that has already been earned. How do I calculate PTO accrual per pay period?
Divide your yearly PTO hours by the number of paychecks in a year. Fifteen days at 8 hours is 120 hours. Paid every two weeks, that is 26 paychecks, or about 4.62 hours each.
What does 1 hour of PTO for every 30 hours worked add up to?
At 40 hours a week it is about 1.33 hours a week, or roughly 69 hours a year, a little under nine 8 hour days. It is a common rate, and the one California sets as the minimum for paid sick leave.
What is a PTO accrual cap?
A maximum balance. Once you reach it you stop earning more until you use some. It is different from use it or lose it, where unused hours disappear on a set date. Some states, California among them, do not allow earned vacation to be forfeited, though they do allow caps.
Will I get paid for unused PTO when I leave?
It depends on your state and on your employer's written policy. Some states require earned vacation to be paid out and many leave it to the policy. The value shown here is what your hours are worth at your rate, before tax, so you know what is at stake when you check.
Does PTO accrue on overtime hours?
It depends on the policy. Plans that accrue per hour worked often count every hour, overtime included, while plans that give a set amount a year ignore hours entirely. Check your handbook, and if it counts overtime, enter your real average weekly hours.
