A cleaning invoice is usually one of many for the same client, so its job is to be unambiguous about which visits it covers.

Covers the visits dated above. A schedule of visit dates is attached. Consumables are billed at cost and restocked at each visit. Additional or out-of-schedule visits are billed at the per-visit rate.

Prefilled as a cleaning service invoice. The rates shown are round placeholder figures to make the document readable, not rate guidance. Saved in this browser only.

How cleaning services usually bill

Billing conventions for a cleaning service
ConventionValue
Billed byPer visit, per hour, or a monthly flat rate
Usual payment termsDue on receipt for one-offs, monthly in arrears for contracts
Money up frontNone for regular work; deposit common for a deep clean or a move-out
Also calledcleaning invoice, housekeeping invoice, janitorial invoice
These are the common conventions in the trade, not rules. The terms that matter are the ones in your own agreement with the client, and this template will carry whatever you set.

What belongs on a cleaning service invoice

The visit dates covered
A monthly invoice that says 'March' invites a dispute about the week the team could not get in. Listing dates settles it before it starts.
Recurring work and one-offs on separate lines
A deep clean sitting inside the regular monthly figure makes the monthly rate look like it went up.
Consumables, itemised
Supplies are a real cost and are invisible unless listed. Show them at cost so they are not mistaken for margin.
What triggers an extra charge
Out-of-hours access, additional rooms and skipped-visit rescheduling should have stated rates so they never arrive as a surprise.

The mistake that costs cleaning services the most

Invoicing a flat monthly rate with no record of visits

Cleaning is invisible when it is done well, so the client's memory of the month is the one visit that was missed. An invoice listing every date turns a flat fee into evidence of work, and it is the difference between a contract that renews and one that gets reviewed.

Sales tax on a cleaning service invoice

Cleaning is one of the services that several states do tax, unlike most professional services. Whether residential and commercial cleaning are treated the same also varies. This is worth checking directly rather than assuming services are exempt.

The template has a tax field with an editable label, so it will say VAT or GST if that is what you need, and it applies the rate to the subtotal after any discount. Leave the rate at zero if you are not registered to collect. Nothing here is tax advice, and a question about your own registration is one for your state's department of revenue or your accountant.

Questions about cleaning service invoices

Should a cleaning service bill per hour or per visit?

Per visit for regular contracts, because it gives the client a predictable figure and rewards a team that gets faster. Per hour suits one-off and deep cleans where the scale is genuinely unknown until you arrive.

Is cleaning subject to sales tax?

In several states it is, which makes cleaning an exception to the general rule that services are untaxed. Some states also treat residential and commercial cleaning differently. Check your state's department of revenue rather than assuming the service exemption applies.

How do I handle a client who keeps skipping visits?

Put the cancellation window and the charge for a missed visit on the invoice as a stated rate, not in a separate contract nobody reopens. A skipped visit billed at fifty per cent with the policy printed beside it is a fact; the same charge appearing without warning is a dispute.
