What belongs on a landscaper invoice
- Maintenance and installation split
- One is a subscription and the other is a project. Combining them makes the monthly figure look volatile and makes the project look like a rate rise.
- Plant material separately from labour
- Plants are goods with their own tax treatment and their own guarantee, and clients want to see what the greenery cost.
- The plant guarantee and its condition
- A one season guarantee conditional on watering is standard, and it only protects you if the condition is written where the client will see it.
- Waste removal per load
- Disposal is a real cost that varies by visit, and billing it per load rather than folding it into the rate keeps a heavy month from looking like overcharging.
The mistake that costs landscapers the most
Charging one seasonal rate across a year of uneven work
Growth is not evenly distributed, so a flat monthly rate means the client pays the same in July as in January and concludes in January that they are being robbed. Either bill per visit, or bill a flat annual figure divided monthly with the visit schedule shown, so the winter invoice carries the explanation on its face.
Sales tax on a landscaper invoice
Plants and hard materials are goods and are often taxable where the labour to install them is not, and some states tax landscaping services outright. A mixed invoice can have two different treatments on it.
The template has a tax field with an editable label, so it will say VAT or GST if that is what you need, and it applies the rate to the subtotal after any discount. Leave the rate at zero if you are not registered to collect. Nothing here is tax advice, and a question about your own registration is one for your state's department of revenue or your accountant.

Should landscaping be billed monthly or per visit?
Per visit is easier to defend, because the invoice matches the work. A flat monthly rate is easier to budget for and is what commercial clients usually want, but only works if the invoice shows the visit schedule so the quiet months are visibly part of an annual arrangement.
Is landscaping taxable?
Often partly. Plants and hard materials are goods and are taxable in most states, while the labour may not be, and some states tax landscaping services in their own right. A single invoice covering both can carry two treatments, which is a good reason to itemise them.
Should I guarantee the plants I install?
One growing season is the common term, conditional on the client following a watering schedule you provide in writing. Without the condition stated you are insuring against a client's neglect, which no margin covers.
