What belongs on a graphic designer invoice
- What the deposit already covered
- Show the deposit as a deduction on the final invoice rather than quietly halving the total, so the client can reconcile it against their own records.
- The rights being transferred
- Full copyright transfer, an exclusive licence and a limited-use licence are three different products at three different prices. The invoice should name which one was bought.
- Source files as a deliverable
- State whether working files are included. It is the single most common post-payment request and the easiest one to have already answered.
- Pass-through licences at cost
- Fonts and stock images bought for the job are listed separately and unmarked up, and the licence should be in the client's name where the vendor allows it.
The mistake that costs graphic designers the most
Releasing source files before the final payment clears
Once a client has the working files they have everything they were going to get, and the incentive to pay the balance drops to nothing. Deliver flattened proofs for approval, and release source files and the rights transfer together on payment. Put that sequence in the agreement so it reads as process rather than suspicion.
Sales tax on a graphic designer invoice
Design services are usually untaxed, but a deliverable handed over as a physical item, such as printed collateral, can be taxable where the service alone would not be. If you print as well as design, check how your state treats the combination.
The template has a tax field with an editable label, so it will say VAT or GST if that is what you need, and it applies the rate to the subtotal after any discount. Leave the rate at zero if you are not registered to collect. Nothing here is tax advice, and a question about your own registration is one for your state's department of revenue or your accountant.

Should a designer charge hourly or per project?
Per project, in almost every case. Design gets faster with experience, so hourly billing quietly penalises you for being good at the job, and it caps the value of a logo at the time it took to draw. Quote the project, define the revision rounds, and bill anything past them at an hourly rate stated on the same invoice.
How much deposit should a graphic designer ask for?
Fifty per cent before starting is the standard and is rarely questioned. It covers the concepting phase, which is where most of the work happens and where an abandoned project does the most damage.
Do I charge sales tax on design work?
Usually not, because most states tax goods rather than services. It gets less clear when you deliver something physical, such as printed material, or when your state is one of the few that taxes certain services. Where your client is located can matter as much as where you are. Check with your state's department of revenue.
